JOB SUMMARY:

The Contracts & Grants Manager is responsible for directly leading and managing the contracts & RFP response process within the Strategic Partnerships Team infrastructure throughout the organization. This role will include technical writing and comprehensive management of the contract workflow in salesforce and working closely with various stakeholders, such as project managers, finance teams, and legal departments, to ensure compliance with contractual and grant requirements. The Contracts & Grants Manager plays a critical role in ensuring efficient and effective contract management, grant administration and compliance with relevant laws, regulations, and organizational policies.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

  • Generating proposal & contract templates complete w/scope of work & costs assessments (including public agency requests for proposals/bids)
  • Opportunity tracking throughout the contract workflow process; interfacing & supporting sales team; managing contracts dashboards.
  • Develop and manage contract lifecycle, including drafting, reviewing, negotiating, and finalizing contracts.
  • Ensure compliance with contractual terms and conditions, including deliverables, milestones, and payment schedules.
  • Collaborate with internal stakeholders and legal teams to address contract issues, resolve disputes, and mitigate risks.
  • Maintain a contract repository and documentation system for easy retrieval and reference.
  • Oversee the administration of grants, including reviewing grant proposals, preparing grant agreements, and monitoring grant progress.
  • Ensure compliance with grant requirements, regulations, and reporting deadlines.
  • Collaborate with program managers to develop grant budgets and financial reports.
  • Maintain accurate records of grant activities, budgets, and expenditures.

 

 QUALIFICATIONS AND REQUIREMENTS:  

  • Bachelor’s degree in in business administration, finance, or a related field (Master's degree preferred).
  • 5 years of proven experience in contract management, grants administration, or a related field.
  • Strong knowledge of contract and grant regulations, policies, and best practices.
  • Familiarity with legal and financial principles related to contracts and grants.
  • Excellent organizational and project management skills with attention to detail.
  • Strong analytical and problem-solving abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in contract management software and tools.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Demonstrated ability to prioritize and meet deadlines.

 

OTHER RESPONSIBILITIES:  

  • Stay updated on relevant laws, regulations, and policies related to contract management and grants administration.
  • Ensure compliance with internal policies, procedures, and ethical guidelines.
  • Identify and mitigate potential risks associated with contracts and grants.
  • Conduct periodic audits and reviews to assess compliance and identify areas for improvement.
  • Collaborate with internal teams, such as finance, legal, and program management, to ensure effective coordination and communication throughout the contracts and grants process.
  • Serve as the primary point of contact for external stakeholders, such as vendors, funding agencies, and regulatory bodies.
  • Identify opportunities for streamlining and improving the contracts and grants management processes.
  • Develop and implement standardized procedures, templates, and tools to enhance efficiency and effectiveness.
  • Provide training and guidance to staff members on contract and grant management best practices.

 

COMPUTER SKILLS:  

  • Intermediate to advanced Excel skills
  • Working knowledge and proficient with Power Point and other MS Office applications

 

PHYSICAL/WORK ENVIRONMENT:

  • Moderate Noise (examples: typical office noise)
  • Stand, Walk, Sit (in general office environment)
  • Computer Screen visual in performance of role
  • Lift up to 10 pounds
  • Travel up to 10-20%
  • Must pass Live Scan (criminal background check via fingerprinting), provide a clear TB test

 COMPENSATION: 

  • Salary Range $85,000-$90,000

This is the targeted compensation for the position. A range of factors, including but not limited to; location, skills, experience, will be considered. Actual compensation may vary.
