The Payroll Coordinator supports the processing complex, high-volume, multi-state payroll for the organization while adhering to federal, state, and local laws. This role plays a critical part in ensuring payroll accuracy, confidentiality, compliance, and efficiency while providing support to employees and collaborating with Human Resources and Finance. The role will be responsible for payroll data entry, audits, reconciliations, and responding to payroll-related inquiries.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Processing high volume payroll, ensuring accuracy and compliance with applicable laws, regulations and organization policies.
• Perform a variety of payroll functions to calculate, adjust and reconcile payroll data for payroll processing within the established timelines.
• Review, validate, and enter payroll data, including hours worked, pay rates, deductions, retroactive pay, and special pay adjustments.
• Collaborate with HRG to update employee records (new hires, terminations, pay changes, status changes, etc.) are accurately reflected in the HRIS system.
• Ensure accurate and timely processing of employee payroll which includes payroll audits and reconciliations to identify and correct discrepancies.
• Verify proper authorization, budget (funding source) coding, and accuracy of payroll.
• Respond to requests timely for clarification of pay, deductions and adjustments for employees and departments.
• Process special payroll transactions such as corrections, replacements, final paychecks and retroactive pay.
• Maintain accurate payroll records and ensure proper documentation.
• Assist in generating payroll reports and summaries for HR and Finance as needed.
• Support year-end payroll processing to update incomplete employee information for W-2 when necessary.
• Stay informed with payroll regulations and industry best practices, ensuring compliance with evolving payroll laws.
• Supports with payroll-related projects, system upgrades, and compliance initiatives.
• Assist with special assignments and other duties as assigned.
QUALIFICATIONS AND REQUIREMENTS:
• 3+ years of experience complex high-volume payroll processing.
• High School diploma or equivalent.
• Knowledge of non-profit education payroll structures and funding.
• Understanding of payroll tax laws, wage and hour regulations, and compliance requirements.
COMPUTER SKILLS:
• Proficiency in payroll software (ADP Workforce or similar systems).
• Intermediate skills Microsoft Excel (pivot tables, VLOOKUPs), Word, and Power Point.
SOFT SKILLS:
• Strong attention to detail and ability to manage multiple priorities.
• Excellent communication and customer service skills.
• Ability to problem-solve working both independently and collaboratively.
PHYSICAL/WORK ENVIRONMENT:
• Moderate Noise (examples: typical office noise)
• Stand, Walk, Sit (in general office environment)
• Computer Screen visual in performance of role
• Lift up to 10 pounds
• Occasional travel may be required for training, meeting, and company events.
• Must pass Live Scan (criminal background check via fingerprinting), provide a clear TB test.
