JOB SUMMARY:
Reporting to the Director of Student Data, the Student Data Operations and Reporting Specialist is responsible for developing the strategy and facilitating the necessary steps to complete timely and accurate reporting for internal and external use. This includes preparing reports and documentation with student data for internal users, district partners, private grants, and state and federal grants. Key responsibilities include ensuring student data compliance with grant requirements and regulatory standards, managing student data sharing with district partners, and uploading district data into the student information system. This role ensures the organization maintains compliant with student data reporting, as outlined by the state and federal grants. The Student Data Operations and Reporting Specialist will ensure accurate and timely updates of student data through close collaboration with IT system administrators to optimize data integration workflows and troubleshoot any system-related issues, ensuring seamless operations and compliance.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Compliance, District, and Internal Report Management
• Maintain and ensure the organization’s full compliance with all grants and/or funding requirements (e.g., ASES, 21st Century, ASSETs, and ELO-P) and regulatory standards (e.g., FERPA) for student data reports.
• Develop the process to produce reports, confirm accuracy of data, and maintain necessary documentation in the event of an audit of report submission to the California Department of Education.
• Successfully facilitate the submission of accurate and timely compliance reports to the California Department of Education with district partners and to Think Together leaders
• Interpret and communicate changes in education code, state, and federal laws, making decisions on necessary adjustments to compliance practices.
• Coordinate the development and implementation of student data reports to meet district partner needs and internal organization needs.

Student Data Sharing Management
• Ensure accurate and timely updates of student data from partners through efficient system development, including API integration.
• Coordinate the collection, validation, and uploading of student data from district partners into the Salesforce student information system.
• Coordinate the development of reports or dashboards to sharing student data back to district partners (e.g., students enrolled in the program, student attendance).
• Monitor and maintain the integrity of student data, ensuring complete and accurate information in the system.
• Lead communication with district partners to ensure a positive customer experience with student data sharing and management.
Collaboration and Optimization
• Collaborate with IT system administrators and regional operations to optimize data integration workflows and troubleshoot any system-related issues.
• Design and implement strategies for meeting reporting requirements in alignment with compliance standards and organizational needs.
• Document all key processes and regularly update processes to facilitate optimization of each process on an ongoing basis.
• Collaborate with supervisor and Regional Operations team to identify trends and solutions to mitigate projected losses based on student data and metrics.

QUALIFICATIONS AND REQUIREMENTS:
• Bachelor’s Degree required in a relevant field or equivalent experience.
• 3+ years of experience with excel, data management systems, Salesforce reporting, and analytical tools preferred.
• Proficiency in using Student Information Systems (SIS) and data management software.
• Deep understanding of regulatory and grant compliance, particularly in the context of expanded learning in California.
• Experience in managing grant compliance and reporting, preferably with knowledge of the California Department of Education's requirements.
• Strong knowledge of data management, with the ability to develop and enforce policies related to data use and protection.
• Proficiency in developing and implementing systems and processes, accompanied by strong project management skills.
• Ability to stay updated with changes in laws and regulations, adapting quickly to new compliance demands.
• Excellent communication skills to liaise effectively with district partners and other stakeholders.
• Strong organizational skills and the ability to manage multiple projects simultaneously.
• Proven experience in compliance management, particularly within an educational or regulatory context.
• Demonstrated track record of successfully developing and implementing compliance reporting systems.

COMPENSATION:

  • Salary $80,000

 This is the targeted compensation for the position. A range of factors, including but not limited to; location, skills, experience, will be considered. Actual compensation may vary.
