Contract Staff Manager

California Schools Talent Collaborative is a school district member organization in the process of obtaining nonprofit status in California. Its operations are supported by Think Together, a California nonprofit and the state’s largest provider of expanded learning programs.

 

As the Contract Staff Manager, your primary focus will be to effectively supervise the contracted staff that are working at schools and other sites operated by our district partners. Serving as a bridge between our contracted staff and partner site supervisors, you will support communications, interface with human resources on employee relations, offer guidance, and proactively manage any performance-related issues. Your pivotal responsibility will be ensuring that contracted staff fulfill their obligations while also nurturing favorable connections with site managers and personnel.

ESSENTIAL JOB DUTIES:
Contract Staff Management:
• Serve as the primary point of contact for our contracted staff, maintaining open lines of communication and providing ongoing support ensuring they understand their roles, responsibilities, and contractual obligations.
• Monitor the performance and activities of contracted staff, ensuring they are fulfilling their duties effectively and in line with our and our partner standards.
• Work with the Placement Coordinator and System Manager to assign schedules and substitute requests.
• Conduct introductions with contracted staff shortly after onboarding and facilitate employee exit interviews at the end of their contract.
• Collaborate with members of the talent acquisition, organizational learning and development, and human resources team to ensure hire schedule is met and contracted staff are successfully deployed.
• Provide regular reports to internal managers and proactively identify issues and proposed solutions.

 

School Site Relationship Management:
• Cultivate strong relationships with site personnel to understand their specific staffing needs and address any concerns they may have regarding the contracted staff.
• Act as a bridge between site managers and contracted staff, facilitating effective communication and collaboration.
• Address any concerns or issues raised by site managers regarding the performance or conduct of contracted staff in a timely and professional manner.

 

Attendance and Time Tracking:
• Monitor attendance and time tracking system for contracted staff, ensuring accurate logging of hours worked daily.
• Frequently communicate with site managers to verify the prompt approval of hours worked by contracted staff.
• Collaborate with contracted staff to address any discrepancies in attendance or time tracking, resolving issues promptly.
• Validate contract staff hours worked on a weekly basis to ensure timely submission of payroll data.

 

Conflict Resolution and Performance Improvement:
• Mediate and resolve conflicts or misunderstandings that may arise between contracted staff and site managers, aiming to maintain harmonious working relationships.
• Identify areas for improvement in performance and work with contracted staff to address skill gaps or challenges.
• Prepare to adjust assignments or terminate employment if the situation necessitates it

 

Reporting and Documentation:
• Ensure accuracy of site personnel contact information
• Maintain accurate records of contract performance evaluations and any issues that arise during their contracted period.
• Generate regular reports detailing contracted staff performance and attendance for internal and external stakeholders.

Professional Development:
• Collaborate with contract staff to identify professional development opportunities that enhance their skills and contribute to the success of our mission.

QUALIFICATIONS & EDUCATION:
• Bachelor's degree in education, business administration, human resources, or related field required for school-based programs; additional course work or master’s degree is desirable.
• Proven 5 years of experience in staff management, relationship management, or a similar role, preferably within the education or non-profit sector.
• Excellent interpersonal and communication skills, with the ability to navigate complex situations and resolve conflicts diplomatically.
• Strong organizational abilities and attention to detail.
• Familiarity with attendance and time tracking systems.
• Ability to work independently and effectively manage a remote team.
• Proficiency in Microsoft Office Suite and other relevant software.
• Willing to travel to school sites to handle concerns and foster relationships with both the contracted staff and district managers.
• Passionate about the Talent Collaborative’s mission.
• Experienced in expanded learning a plus.

BACKGROUND CHECK REQUIREMENTS:
• Must pass Live Scan (criminal background check via fingerprinting), provide a clear TB test.

 

Compensation:
• $80,000-$90,000/yr.
